Hotel Businesses covers any in-house operation that sells to guests or the public alongside your rooms — a bar, restaurant, spa, retail shop, laundry service, or anything else. Each business keeps its own inventory, sales and expenses, separate from room revenue.
1. Creating a Business
Only hotel members with the Admin role can create a new business — this keeps the list of businesses (and therefore what appears in Team & Access Control's business-level permissions) under deliberate control.
- Open Hotel Businesses and click the + add-business button in the sidebar.
- Give it a name and choose its type: Retail, Service, Laundry, or Other.
- The type determines which tabs the business gets — Retail and Other get Items, Purchases, Sales and Expenses; Service businesses drop Purchases in favor of booking-style service records; Laundry businesses keep Items and Expenses but replace Sales with Laundry In / Laundry Out (see below).

2. Items
Items are the products or stock a business holds — bottles behind the bar, dishes on a restaurant menu, or laundry service items (wash, iron, dry-clean) priced per piece.
- Add an item with a name, unit price, and current quantity on hand (quantity is optional for pure services).
- Items are what populate the picker when recording a Sale, a Purchase, or a Laundry In order.
- Edit an item's price at any time — past sales keep the price recorded when they happened.
3. Purchases
Use Purchases to restock items — recording that more stock came in and at what cost.
- Pick the item, the quantity received, and the new cost if it has changed; the item's stock and price update accordingly.
- Recording a purchase here does not create an expense transaction. In most hotels, the hotel itself pays the supplier and records that payment under Payments & Billing's expense records — the business side is only registering that the stock arrived.
- If the hotel actually hands the business cash to cover the purchase, record that transfer as a disbursement from Payments & Billing instead — the business can then log its own expense for it if needed. See Finance → Payments / Billing.
4. Sales
Record what the business sold to a guest or walk-in customer:
- Pick one or more items and quantities; the total is calculated from each item's current price.
- Choose the payment method and, if it was charged to a guest's room, link the booking so it appears on their final bill.
- Saving a sale automatically records income against that business's account and reduces item stock.

5. Expenses
Business Expenses are costs the business itself incurs and pays for out of its own account — staff snacks, small repairs, or anything not tied to restocking inventory. Recording one here reduces that business's own balance, netting against any income or disbursements it has received.
6. Laundry In / Out
Laundry-type businesses replace Sales with a two-step intake and completion flow:
- Laundry In — start a new order and record where it came from:
- Hotel — pick the staff member from a searchable dropdown of your Team & Access Control users.
- Guest — pick the guest from a searchable dropdown of Guest Profiles.
- Walk-in — type the person's name manually, since they have no profile in the system.
- Laundry Out — once the order is finished, mark it Ready to Collect. This sends a push notification to the hotel's staff that the order is ready (if notifications are enabled — see the Profile page). Marking it collected closes the order out.

7. Business Reports
A summarized view per business: total sales (or laundry orders completed), purchases, expenses and net position over a selected period — useful for comparing how each in-house business is performing.
